[Asia Economy Reporter Kim Jonghwa] One-page collaboration tools are leading the collaboration tool market as they are recognized for increasing productivity in line with the deep work trend.
According to a McKinsey survey, office workers are interrupted by messenger or email notifications for an average of more than 2.2 hours a day. Productivity research group Rescue Time also revealed that the time fully focused without messenger or email interruptions is about 1 hour and 12 minutes per day.
This phenomenon occurred because work was done following supervisors' instructions and proceeded through one-way reporting. However, now it has changed into a horizontal organization where experts from various fields create results through direct communication. As communication among diverse people occurs, the frequency of communication has also increased.
The problem is that although work culture has changed, work tools started by using existing tools such as messengers or emails. Along with the explosively increased volume of communication, message notifications also increased proportionally. There are many cases where work ends after immediately responding to messengers received every 15 minutes on average.
Cal Newport, author of "Deep Work," also stated that reducing superficial tasks like emails and messengers and context-switching is most important for work immersion.
To this end, global companies and domestic large corporations began to eliminate email or phone work processes or look for new tools to complement messengers. Subsequently, collaboration tools emerged to improve communication efficiency.
Collaboration tools are largely divided into three types. SNS-type collaboration tools created to quickly share important history, goal-oriented collaboration tools that share work progress status in graphs or Kanban form, and one-page collaboration tools where the workflow can be seen at a glance on a single page.
In the case of SNS-type and goal-oriented tools, detailed work content could not be known, so messenger notifications could not be completely reduced. One-page collaboration tools, where tasks, schedules, files, and feedback can all be exchanged on one page, are recognized as substitutes that complement the limitations of the two collaboration tools.
One-page collaboration tools, as the name suggests, are tools that allow collaboration on a single page. Previously, tasks, schedules, files, decisions, and opinions generated during work were organized and shared via messenger, email, phone, Word files, Excel files, etc., but one-page collaboration tools can handle all work in one space. The work process is managed like a single work report. This reduces the use of messengers and emails and minimizes context-switching, enabling deep work.
According to a survey by the one-page collaboration tool "Notion," 98% of users reported saving work time using Notion. They also answered that the average project duration was reduced by 32%, and the volume of email reception and sending was reduced by 26%.
Users of the domestic representative one-page collaboration tool "Collabee" also responded that more than 90% felt an increase in work efficiency. Additionally, simple work reporting time decreased by an average of 1.6 hours per week, and messenger usage time decreased by an average of 1.3 hours per week.
A representative of the one-page collaboration tool Collabee said, "Previously, real-time communication collaboration was important, but now collaboration that transparently shares work progress and minimizes unnecessary communication has become important," adding, "As a result, the growth of one-page collaboration tools that can transparently share work status in a single-page space will continue in the future."
